Today the ASA is headquartered in Park Ridge, Illinois and will be relocating to a newly constructed facility in Schaumburg, Illinois in Spring 2014.Position Summary:Executes meeting and event strategies to achieve the ASA mission, values, goals and strategic plan.
Supports the Annual Meeting chair, committee chairs and staff in planning the logistics and managing the ASA President and President-Electâ s Special requirements, events and meetings and management of all ASA executive office, governance, legislative, and independent (non Annual Meeting) conferences and meetings throughout the year. Also hold planning and management responsibilities related to the Annual Meeting to include House of delegate meeting management, ASA Special Events and VIP Services, catering oversight and other meetings, events and department projects and duties, as needed.Position Responsibilities:Major Activity: Plans and implements logistics for the Board of Directors meetings, legislative conference, Administrative Council meetings and retreats, and Presidentâ s and President-Elect activities at the Annual Meeting and site visits, ASA-AANA meetings, AMA Delegation meetings at AMA, ASA Opening Reception at the Annual Meeting and other special events.Major Activity: Liaison with the ASA Executive office with respect to meeting logistic throughout the year.Major Activity: Liaison with ASA Governance department with respect to Board, HOD, and committee meeting and misc logistics throughout the year.Major Activity: Responds to and supports the ASA leadership, other program and committee chairs and various ASA departments (Meetings, Exhibits, Education, Member Services and Marketing in the implementation (logistics) for the Annual Scientific Meeting and other meetings and events. Major Activity: Manage advanced planning and Onsite production and execution of all special events (including the Opening Reception) and meetings outside of the convention center for executive office and staff during the Annual Meeting including efforts to define the theme, facility management, securing entertainment, and collaborating with ASA Leadership and staff.Major Activity: Works with President-Electâ s component society/DMC regarding the arrangements for the President-President-Electâ s Reception at the Annual MeetingMajor Activity: Maintains communications with officers and staff regarding the above activities, while acting as primary Meeting and Exhibits Department Liaison to Executive, Governance and DC Departments Major Activity: Develops and implements a centralized process for negotiating with hotels (outside of the Annual Meeting) for all of the ASA committee, and other meetings to attain price containment in Society functionsMajor Activity: Negotiates with hotels for all ASA Administrative Council, and committee meetings outside of the Annual Meeting, Board of Directors and other ASA-sponsored meetings, and Subspecialty meetings.Major Activity: Works collaboratively with staff to provide meeting specifications to the hotels Major Activity: Supports departmental excellence in areas of Meetings and Exhibits Major Activity: Provide onsite support at the Annual Meeting, as instructed, and manage the ASA Headquarter Hotel operations and logistics Major Activity: Works with the Governance Team to plan and implement the House of Delegates logistics at Annual MeetingMajor Activity: Responsibilities include forecasting (budgeting) and managing various Annual Meeting revenue areas and expense budgets to meet ASA objectives and goals. Major Activity: In collaboration with the Convention Services and Convention s Managers â Develops and maintains contents of ASA Insider as a communication tool for internal ASA staff.
Include the development of improved meeting and event processes and efficiencies for managing the logistics for all ASA Meetings and events.Major Activity: Develop collaborative relationships with local groups and organizations whose missions support the work of the ASA, and to learn and develop best practices in meeting and event planning. Evaluate and implement improved processes and procedures for continuous improvement. Major Activity: Assist and support other department managers and staff on all logistical planning for the Annual Meeting, educational meetings, Board of Directors Meetings, Committee Meetings, and other requests.Major Activity: Work with and manage expectations of internal ASA staff and provide support with housing and travel needs.
