Due to growth, we are relocating from Park Ridge, IL to Schaumburg, IL in May 2014.
We are currently seeking a Facilities and Office Services Manager to provide management and leadership for ASA’s headquarters building in Park Ridge/Schaumburg and leased space in Washington, DC. Responsibilities include managing the activities, budgets, and vendors required for current and future needs of the building and operation. Plan and implement office and building service activities, including all facility related activities (space planning, security, building, grounds, maintenance and capital expenditures). Responsible for all office service operations, inclu! ding mail, fulfillment and duplication equipment.

! Responsibilities:

  • Manage and implement the design, planning, construction and maintenance of equipment, machinery, building/leased space, and other facilities. Ability to participate in real estate lease terms, negotiations, and implementation.
  • Plan, budget, and schedule facility modifications, including estimates on equipment, labor, materials and other related costs. Develop and manage to annual budgets.
  • Investigates and provides recommendations for the purchasing and/or leasing of furniture, equipment and office supplies. Identifies quality vendors; obtain proposals, negotiate pricing and terms, and makes recommendation. Responsible for tracking inventory and maintaining databases of fixed assets.
  • Continuously look for ways to improve optimization of facilities space, investment and utilities cost.
  • Manage and coordinate building space allocation and layout and facilities expansion and/or reconfiguration. Perform regula! r risk assessments and develop mitigation plans to ensure continuous, efficient operation of facilities.
  • Design and develop organizational policies relevant to the facilities and office services function. Responsibility for establishing and overseeing health and safety standards for facilities.
  • Hands on involvement to ensure day to day operations of the facility(s). Implements programs and systems including general maintenance, janitorial, life-safety, and vendor management are implemented and carried out in a manner consistent with ASA’s policies. Ensures compliance with ADA and OSHA.
  • Completes various facilities duties. Responds to employee helpdesk requests for maintenance and repair. Coordinates service requests as needed and performs routine maintenance and facility tasks.
  • Oversees security and system. Provides 24 hour, on-call assistance for building emergencies (fire, police, HVAC, etc.).
  • Oversees the operation of the ma! ilroom. Manages and mentors mailroom clerk. Backup Mailroom Clerk durin! g times of peak workload and absences.
  • Performs a variety of general office activities and projects, including inventory and stocking of the storage area, moving of office furniture and equipment, setting up and dismantling conference rooms and other areas, and other tasks as directed.
Requirements:
  • Bachelor’s degree in business or equivalent related experience. Master’s degree a plus.
  • Minimum 7 years facilities management experience required; at least three years in a supervisory capacity essential.
  • CFM industry designations desired.
  • Basic knowledge in Microsoft Office applications, Word, Excel, Outlook and other productivity focused tools.
  • Breadth of experience in leasing, construction, engineering, and all facets of property operation and building management are preferred.
