Manages the daily operations of a small organizational unit, often serving as an office manager, primarily in the areas of financial, events and support services management. Represents the department on business affairs. May assist in developing executing organization's business plan. Develops and implements office procedures and policies. Ensures compliance of office staff with relevant office, University and other policies and guidelines. Develops or assists with the development of the budget. Monitors and reconciles accounts. Oversight management of the day-to-day financial processes, payment of invoices, the purchase of goods and services, and the processing of reimbursements. May select vendors and negotiate contracts. Researches, compiles and analyzes data to create reports, proposals and other documents including but not limited to financial and monthly reports. May develop financial report for grants and provide! input into non-technical portions of grant and contract propo! sals. Oversees and maintains the physical office space, ordering equipment repairs and upgrades. Manages communications, including maintaining and updating Web content. Coordinates logistics of major events, and may assist in planning events. Manages special projects or functions related to the business of the organizational unit. May report to the Dean or unit head. May hire, train, appraise, promote, discipline, and terminate office staff, which may include both exempt and non-exempt employees. May direct and monitor the work of office staff to ensure accuracy and timeliness.

About the Unit

The department of Anesthesia and Critical Care has been continuously productive not only in its scientific contributions, but also in providing outstanding basic medical care in anesthesiology. Its members have helped to establish the role of anesthesiologists as consultants in fields such as intensive care, oxygen therapy, the recovery room, and inhalation therapy.
From a one-member section in 1928, Anesthesiology has grown to a 60+ member faculty; the department includes 50+ residents, 20+ nurse-anesthetists, 14 administrators and 70+ staff members. Faculty members are active nationally and internationally in their field, and former trainees of the department hold prominent academic positions in the United States and throughout the world.

Unit Job Summary

Scheduling Administrator: Under the direct supervision of the Physician Scheduling Director and Executive Administrator, manage the physician scheduling of Anesthesia and Critical Care anesthetizing locations, all operating rooms and off-site locations. Provides functional guidance to department administrators, anesthesiologists, CRNA's, residents and operating room staff on issues related to scheduling of operative procedures. Using Qgenda, a medical scheduling software, the scheduling administrator works with staff to ensure that all hours are cove! red with appropriate clinical staff. Develops schedules based upon a cl! inical team model and coordinates shifting of staff to address clinical needs. Analyzes the schedules to determine the number of clinical staff to be assigned to the site considering skill needs, contractual obligations and personnel not available. Reviews analysis with the Physician Scheduling Director to verify clinical staff needs. Notifies faculty and clinical staff of next day's assignment via regular Qgenda software updates. Manages schedule including call-outs and emergency/urgent add on cases. Enters into Qgenda daily schedule information for all faculty and clinical staff on a daily basis including shift and hours worked. Provides management reports when required.

The Scheduling Administrator uses Qgenda to customize clinical schedules, generate call assignments equally and fairly, facilitate scheduling changes as users view, trade and request shifts. The scheduling administrator will also serve as the department contact person for user training and troubl! eshooting on Qgenda scheduling issues.

Works with all new employees directly to ensure understanding of the Qgenda scheduling software. Coordinates and tracks vacation submissions and clinical staff availability. Assists with the production of monthly reports summarizing scheduling operations. Meet with management on a regular basis to provide an update on operations status. Perform other duties as assigned.

Education

Bachelor's degree and a minimum of two years of progressively responsible administrative experience OR a minimum of five years of progressively responsible administrative experience required.

Previous medical office experience preferred.

Familiarity with Qgenda scheduling software preferred.

Experience in physician relations strongly desired.

Extensive experience in a complex, fast-paced office environment in a responsible administrative role! required.

Experience in a large academic, clinical department preferred.

Knowledge of medical terminology preferred.
