Position Summary:
The Accounting Supervisor is responsible for managing and directing the accounts payable, accounts receivable and clerical functions of the Accounting Department for the American Society of Anesthesiologists (ASA), Related Organizations and Subspecialty Societies.
Position Responsibilities:
1. Major Activity: Manage and direct the activities of Accounts Payable/Receivable staff.
2. Major Activity: Oversee the accounts payable (A/P) functions of ASA, related organizations and subspecialty societies. This includes the day-to-day operations of A/P, annual 1099 process, ensuring all A/P processed is on an accrual basis and transmitting A/P information to the bank.
3. Major Activity: Oversee the accounts receivable (A/R) functions of the ASA, related organizations and subspecialty societies. This includes the day-to-day operations of A/R, ensuring all A/R related activity follows GAAP and A/R aging balances are within acceptable levels.
4. Major Activity: Implement and maintain appropriate internal controls over A/P and A/R processes.
5. Major Activity: Ensure all ASA, related organizations and subspecialty societies are following best practices when it deals with system integration (CRM and accounting system), banking (use of lockboxes) and payments (use of ACH).
6. Major Activity: Ensure that ASAPAC related contributions are recorded and reported on a timely basis.
7. Major Activity: Prepare journal entries as needed.
8. Major Activity: Reconcile and present assigned accounts within 20 days of month end close.
9. Major Activity: Participate in the annual audit process. This will include providing auditors with assigned account reconciliations and PBC items.
10. Major Activity: Independently seek out, document, update and act as a Subject Matter Expert (SME) in the establishment and maintenance of process and procedure guidelines in concert with Generally Accepted Accounting Principles.
11. Major Activity: Actively seeks out and implements accounting-related process improvements.
12. Major Activity: Assist with the annual budget process. This will include budget analysis and working with assigned departments on budget preparation.
13. Major Activity: Act as accounting liaison to assigned departments in the organization.
14. Minor Activity: Perform other related duties and participate in various projects as assigned in order to meet department goals and deadlines.
Education and Training:
- Bachelors Degree in Accounting.
- Knowledge of Microsoft Office products; proficient in Excel spreadsheet layouts.
- 5 years of related accounting experience and 2 years of related supervisory experience.
- Expertise in accounting terminology and procedures; broad knowledge and understanding of GAAP and account reconciliation.
- Expertise in FASB regulations and 1099 Reporting.
- Language skills must include the ability to read, write, speak English effectively and follow oral and written instructions consistent with policies and procedure.
- Highly-developed interpersonal skills and demonstrated high level of confidence and poise with a strong member service orientation.
- Leadership ability to set clear goals for staff, achieving teamwork and collaboration.
- Organizational skills, time management skills and the ability to learn new tasks quickly.
- Ability to analyze date, communicate with all levels of management and develop recommendations for solving problems while exhibiting realistic understanding of issues.
